Title: Property Administrator � Commercial
We are seeking a highly organized and detail-oriented Property Administrator to join our Property Management team in West Los Angeles. This is a full-time, in-office only position. The ideal candidate has experience in commercial property management, is proficient in Yardi Voyager 7s, Microsoft Office, and thrives in a fast-paced environment supporting lease administration, compliance, and operational coordination.
Qualifications
- 2�3+ years in commercial property management
- High school diploma required; college degree preferred
- Proficiency in Yardi Voyager 7s
- Proficiency in Microsoft Office: Word, Excel, Outlook, PowerPoint
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Ability to travel between properties
- Familiarity with lease documentation and compliance reporting
- Local candidates preferred
Responsibilities
- Administrative Support:
Provide day-to-day administrative support to the Property Management Department, ensuring high-quality work is completed within established deadlines and in alignment with company SOPs.
- Lease File Management:
Upload, name, and tag lease documents in Yardi Voyager 7. Maintain accurate and organized digital and physical tenant files, including screening documents, financials, leases, amendments, subleases, legal documents, insurance, and correspondence.
- Lease Documentation:
Prepare leases, addendums, amendments, and related documents as directed. Assemble, scan, and distribute all lease documentation, ensuring proper filing and accessibility.
- Tenant Onboarding & Communication:
Send billing and emergency contact forms to tenants, track responses, and ensure documents are saved appropriately. Draft and send welcome letters, 3-day notices, and move-out confirmations.
- Compliance & Reporting:
Maintain and organize certifications, permits, and annual testing records. Manage Energy Star/EBEWE reporting and ensure each property�s business license is active and properly filed.
- Insurance Tracking:
Support the Director of Property Management in managing certificates of insurance for tenants and vendors, ensuring compliance and timely renewals.
- Vendor & Utility Coordination:
Assist with preparing service contracts and work orders. Handle utility setup and transfers (electric, gas, water, trash, fire phone lines, elevator lines) post tenant move-out.
- Broker Commission Processing:
Compile and send commission invoices with supporting documentation (approval forms, listing agreements, lease rent schedules) for review and submission to accounting.
- Financial Review Support:
Assist in preparing for monthly financial reviews. Ensure the �Monthly Financial Overview� is saved in the shared drive for each property.
- Due Diligence Support:
Assist with acquisitions and dispositions by gathering, assembling, and logging due diligence materials as directed.
- Other Duties:
Perform additional tasks as assigned by the Sr. Portfolio Manager or Director of Property Management to support departmental operations.
