The Position:

The Client Service Coordinator is responsible for delivering outstanding customer service and supporting the Property Management Office to provide seamless day to day operations. You will report to the General Manager.  The successful candidate will be organized, have an eye for detail and a passion for customer service.

Key Responsibilities:

Hospitality/Leadership:

  • Be the first point-of-contact for customers and vendors and route requests and inquiries, including answering the PMO phone, routing emails, and greeting visitors

  • Manage customer requests using our work order system and coordinate with building operations team

  • Assist new customers with onboarding procedures

  • Provide customer service ZO Fit members and prospective members

  • Provide a warm and welcoming experience for customers and visitors

  • Promote and contribute to Tishman Speyer’s ZO. amenity offerings

  • Maintain a high level of customer satisfaction, responding to customer needs in a timely manner

  • Actively support the Property Management team in fostering long lasting relationships with customers

Operations:

  • Provide support to ensure smooth operations of the Property Management Office (PMO)

  • Process all invoices in a timely manner, confirming charges against existing contracts, budget and proposals

  • Periodic inspections of common areas, including fitness center, locker rooms, lobbies, and exterior grounds

  • Schedule periodic contracted services with building vendors as needed

  • Update office files as needed

  • Update and distribute daily freight and dock schedule (activity/security memo)

  • Coordinate incoming and outgoing mail, overnight deliveries, and courier service

  • Maintain certificates of insurance for contractors, customer, and vendors

  • Update all customer and staff directories and emergency contact lists, building guides, manuals, etc. as needed

  • Manage property management team supplies and office equipment

  • Assist property management team with projects and communication

  • Assist with coordination and preparation of building tours

  • Prepare monthly accruals and reclasses with General Manager oversight

  • Prepare monthly automated rent documents, and arrears updates

  • Create and maintain customer billables spreadsheet based on lease language

  • Conduct daily staff meetings

  • Set up and maintain new building accounts, organize, and order office supplies for the Property Management Office as necessary

  • Set up all auto-debits for utilities and updates to contract matrix monthly

  • Assist with annual budgeting such as customer billable income/expenses, building office expenses, ZO. expenses, etc.

  • Communicate building updates to customers

  • Manage ZO Fit membership sign ups

  • Respond to customer account statement inquiries as necessary

  • Assist the Property Management team with projects and communications

  • Ability to walk or drive to and from the multiple buildings in the Playa Vista portfolio

About You:

Qualifications:

  • 2 - 4 years of experience in commercial real estate or hospitality industry

  • Bachelor’s degree

  • Proficient in Microsoft Office or equivalent

  • Ability to understand and communicate in English, verbally and in writing

The base compensation range for this role is $55,000 - $65,000. This role is also eligible for a discretionary annual bonus, as well as access to our comprehensive medical, dental, and vision insurance, life and disability insurance, 401(k) plan (with matching contributions), wellness benefits and all other benefits afforded to full-time Tishman Speyer employees. This base range reflects a number of factors including, but not limited to, relevant experience, skill sets, and/or licensure required of an individual in this particular role. The base range is also specific to members of Tishman Speyer’s Los Angeles team, as we’ve considered factors specific to this geography.
